Position Title: Executive Administrative Assistant

Location: Grand Rapids, Michigan

Office Hours: In Office (Monday through Friday 8:30 am to 5:30 pm)

Position Overview: The Executive Administrative Assistant will work closely with the President/CEO of SeyferthPR, handling a wide range of administrative and executive support tasks. This role requires exceptional organizational skills, the ability to manage complex scheduling, and a proactive approach to problem-solving. The successful candidate will be responsible for ensuring smooth daily operations and providing high-level support to the executive team.

Key Responsibilities:

  • Calendar Management: Coordinate and manage the President/CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Complex Scheduling: Handle intricate scheduling tasks, prioritize and manage competing demands effectively.
  • Office Duties: Oversee office supplies ordering, manage inventory, and ensure the office environment remains organized and efficient.
  • Communication: Answer phones, screen calls, and manage correspondence. Maintain professional communication with clients, staff, and external partners.
  • HR Support: Assist with HR-related tasks, including onboarding new employees and maintaining employee records. HR experience is a plus.
  • Travel Coordination: Arrange travel plans, accommodations, and itineraries for the President/CEO. Some travel with or for the President/CEO may be required.
  • Meeting Management: Schedule and organize meetings, take detailed notes, and prepare meeting agendas and follow-up action items.
  • Writing Tasks: Draft and proofread documents, reports, and correspondence as needed.

Qualifications:

  • Proven experience as an Executive Administrative Assistant or similar role.
  • Exceptional organizational and time-management skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
  • Strong written and verbal communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Experience in HR functions is a plus.
  • Willingness to travel occasionally as required.
  • High school diploma required; Associate’s or Bachelor’s degree in Business Administration or related field preferred.

Compensation: Competitive pay based on experience and qualifications. $18 to $25 per hour
